What a CRM Does for a Small Business (and Why $50 a Month Beats Per Seat)

What a CRM actually does, when a small business needs one, and why a flat $50 a month beats paying per seat as your team grows.

A CRM is where everything about your customers and your jobs lives in one place, instead of in a notebook, in your phone's texts, in your head, and in an email you meant to reply to.

If you have ever stood in somebody's driveway unable to remember the number you quoted them, you already know what problem it solves.

What it actually does

  • Contacts with the details that matter to you. Name, phone, address, notes, and fields you choose: the gate code, which style they liked, whether the dog is friendly.
  • A pipeline in your own stages. Quoted, scheduled, in progress, paid. Not somebody else's idea of how a sale works.
  • Leads from your website land as records. The form arrives as a job you can assign and call, not an email that scrolls out of sight.
  • Every call, text and email filed on the record. So the next person who picks up the phone knows what was said.
  • Quotes and invoices. Write it once, send it, get it signed, take the deposit online, and see who owes what.
  • Follow-ups that actually happen. A reminder for the quote you sent on Tuesday, and a service reminder a year after the job.
  • Numbers. What came in, what closed, what is outstanding, which month is your busiest.

When a small business needs one

You probably need a CRM when three or more of these are true:

  • You send more than three quotes a week.
  • Two or more people need the same customer's details.
  • You have lost track of a quote you meant to chase.
  • Repeat work is worth chasing and nobody is chasing it.
  • Your customers exist in three places and none of them agree.

If you send two quotes a month and do all the work yourself, a shared list or a spreadsheet is honestly fine. We say that, because a tool you do not need is a bill you will resent.

Why per-seat pricing costs more than it looks

The big platforms charge by the user. Five people at $30 to $50 each is $150 to $250 every month, forever, and it grows the day you hire somebody or add the office manager. The predictable result is that a small business runs its CRM with two seats, and the customer details live in two places again.

Our custom CRM is built around how your business actually sells: contacts and companies with your own fields, your stages, your quotes, your reminders, and reports that answer the questions you ask. It is $1,000 once to build, then $50 a month flat, with the whole team included, whoever you add later. Month to month, no contract, and the data is exportable in full if you ever leave.

How the build works

One call, where we map your stages, your fields and what you want automated. Then we build it. It goes live with your real data in it and a walkthrough for the team, and the $50 a month starts then, not before. If you take a website from us at the same time, the CRM build can be added at the payment step: $1,000 with the order, and the monthly fee still only starts when it is live.

See what the custom CRM does if you want the feature list, or book a fifteen-minute call and we will tell you honestly whether you need one yet.
